How do you keep track of your outreach prospects?

I just started to do link building outreach for my site and my Google Sheets are already a mess :-)

I was wondering how do you keep it organized? Do you have a master sheet, in which you have all the persons that you contacted? Or do you have an outreach list per post? Do you have a blacklist of people that didn’t reply?
 
Kanboard with Greenwing theme. You can create your own collumns and organize as you want. It's the best for outreach tracking.

About organizational part, I create one kanboard project for each domain I'm building links and put each prospect domain as a task.

Then, based on responses and etc I keep moving the tasks between collumns.

  • Waiting response
  • Waiting decision
  • Waiting to send article
  • Article sent, not paid yet
  • Article sent, paid
  • Posted
  • Fail
My employees can attach the articles, send, all well organized with kanboard!
